How We’re Organized
The Corporate and Workplace Solutions Division (CWS) is comprised of Corporate and Workplace Solutions and the Office of Global Security. Corporate and Workplace Solutions includes the following pillars: Real Estate, Client Engagement, Spend Management, CWS Engineering and Divisional Management.
Workplace Experience
Encompasses the comprehensive onsite workplace experience, how people interact with the workplace, on and off-site events and our overall location strategy. Departments include Events, Real Estate Strategy, Real Estate Development and On-Site Solutions, which is comprised of Document Management, Facilities, Ground Transportation and Hospitality.
Spend Management
Aligns all commercial advisory and risk management functions that drive operating efficiency. Departments include Product Finance, Strategic Sourcing, Third Party Governance, Procure to Pay and Infrastructure & Transformation.
CWS Engineering
Aligns all engineering functions integral to the successful performance of the firm. Departments include Workplace Engineering, Client & Production Engineering, Corporate Engineering and Spend Management Engineering.
Divisional Management (COO)
Aligns division-wide functions to drive strategic cohesiveness, consistency and efficiency. Departments include Business Unit Management, Communications and User Engagement, Risk and Environmental, Social & Governance. RESPONSIBILITIES AND QUALIFICATIONS
ROLE OVERVIEW
This position reports to the Business Management Team Bengaluru lead and will work closely with the regional and global admin team. The role will provide full administrative support for CWS including:
RESPONSIBILITIES
  • Provides administrative support in a complex team environment to a group of senior executives.
  • Coordinates complex, senior-level internal / external meetings and conference calls.
  • Handles a high volume of phones calls and interacts with high level business leaders in a professional and effective manner.
  • Supports internal and external managers.
  • Organize and circulate material/ agenda for internal client meeting
  • Proactive responds and follows up on request in a timely and professional manner
  • Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.
  • Coordinates a high volume of domestic and international travel arrangements and processes expense reports.
  • Prepares and distributes divisional correspondence, memos, letters, reports or other documents as requested.
  • Maintains understanding of firm policies and handles certain issues independently.
  • Manages monthly invoices and arranges for payment.
  • On-boards new hires, processes new employees, transfers, termination, etc.
  • Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events.
  • Orders supplies and keeps inventory well-stocked
