Job Title : Assistant Manager/Deputy Manager- Administration and Procurement.
Department : Administration and Procurement
Reporting to : Manager- Administration and Procurement
Location : Mumbai

Key responsibilities
General Administration:
  • Monitor the overall functioning of the General Administration processes, identifying improvement areas and implementing adequate measures to maximize stakeholder satisfaction level.
  • Overviewing all the repair/ maintenance projects of the office which includes electrical, architectural, civil, carpentry activities. Further assisting in framing the outline of execution of work to be done, allocating vendor, planning the work schedule, follow up with vendor, task assessment, ensuring the completion within timeline and providing for invoices as per the requirements of the finance team.
  • Addressing the escalations from locations other than Mumbai and helping them with the solution and its approx. rate sand pricing along with the required approvals.
  • Conducting Induction Programs for new joinee.
Real Estate

New Office Set up, Lease Renewal and Handover:
  • Understanding the business requirements & engaging the IPC for sourcing the properties
  • Analyzing & evaluation the list of the properties provided by the IPC as per CCAI standard.
  • Property inspection to review the strengths and shortcomings of the property.
  • Intimation to the Head office team and seeking approval as per SOP
  • Completing all legal requirements & handover in a ready to move in state.
  • Maintaining proper record, reconciliation of assets post completion of Interior fit out work and Turnkey projects
  • Execution for the renewal/extension /termination of the lease agreements of various locations within timelines.
Residential Lease:
  • Engaging the vendor for property sourcing.
  • Shortlisting, inspection, negotiation, and deal closure with property finalization.
  • Intimation to the Head office team for seeking approval as per the laid SOP.
  • Reviewing the technical records maintained and ensuring timely updation
  • Checking on lease renewal tenure or termination request as required as per timeline.

Compliance - Audits, Shop License Renewal / Insurance
  • Managing all Internal & External, ISO & HO audits.
  • Liaising with government authorities, licenses department, local police authorities etc. For smooth and seamless compliance with required statutory and legal requirement across all locations
  • Possess knowledge of legal documentation, drafting & vetting compliance, and diligence issues
  • Ensure compliance with health and safety standards and industry codes
  • Overviewing Asset Insurance, timely tagging, and renewal & Maintaining tracker for renewal.

Key performance standards
  • Administrative Support & TAT Adherence.
  • Closing of all withheld issues and escalations within timeline.
  • Assisting in handling the festival celebrations, occasions and events indoor and outdoor.
  • Assisting in Bill Desk functions and ensuring timely processing of the invoices.

Requirements and specific skills
  • Candidates with B. Com degree, work experience of 5+ years working with shipping and facility management.
  • Very good communications skills, verbal & written.
  • Very good command over MS office.
  • Candidate with certification in administration & facility management, EHS, First Aider and fire safety will be preferred.
