Designation : EA to Director
Job Description :
Coordinating with different Dept.
Managing and maintaining the Directors diary and email account.
Filtering emails, highlighting urgent correspondence and printing attachments.
Organizing inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive.
Responding to emails as much as possible, dealing with appointments, requiring Bio or photos etc.
Ensuring busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting problems.
Conducting weekly diary meetings with the Director to discuss upcoming engagements, invitations and other requests.
Scheduling on behalf of the Director meetings between her and her direct reports and the committees and groups to which she is a member.
Coordinating travel and accommodation requirements in connection with others and ensuring arrangements in place for the Director match his requirements.
Filtering general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate.
Ensuring the Director is fully briefed on, or prepared for, any engagements he is involved in. Keeping and maintaining an accurate record of papers and electronic correspondence on behalf of the Director
Preparing correspondence on behalf of the Director including the drafting of general replies
Keeping and retrieving files.
Co-coordinating for events/conferences/lunch/dinner.
Ensuring guests meeting with the Director are well taken care of.
Making travel arrangements (India and abroad) which would include:
Hotel reservations, Web check-in, booking car. Transport reservation, preparing and compiling meeting agenda/information to concerns with confirmation (as per 'Travel check list')
Preparing and submitting Travel Expenses Coordinating with Department heads in HO, ZO, Branch offices and Franchise centers.
E-filing: Contracts, Articles, Documents filing.
Taking care of Memberships: Personal membership and to maintain subscription online, offline.
Personal: Maintaining Birthday calendar of family/relatives
Providing a service that is in line with the Directors work habits and preferences.

Salary : 5.5lpa
