RESPONSIBILITIES

We require a PMO Consultant to work closely with the Transition and Engagement Directors to provide analysis and administration support throughout the transition and into steady state. The key focus of the role is to facilitate the development and ongoing management of projects/ programs ensuring variances, risks, issues and dependencies are reported and escalated as appropriate.
On-boarding/ transfer/ termination process coordination and support
Hiring pipeline tracking and reporting
Time tracking and absence requests coordination
Regular and ad-hoc reporting development
Maintaining project governance
Invoices processing
Expense requests processing
Travel planning and coordination
Team events, workshops and client visits organization
Management meetings organization, meeting minutes and actions tracking
Standard Operational Procedures
Facilitate and prepare regular transition/ program status and governance documents
Creation of client SOW
Coordination between internal and client teams
Coordination with the recruiting team and internal recruiting systems, including updating of job specs for internal and client use
Scheduling interviews with client by checking the client's calendar and co-ordinating with resourcing teams across geographies to arrive at a conducive time slot
Work order tracking - Creation of new work orders, ensure that the tracker is up to date so that current status can be gathered quickly, follow up with clients on work orders that are about to expire and raise new ones to continue them
Maintain the internal Excelian mailing list to ensure that all the team members are part of that and communications can be sent easily
Required Candidate profileSKILLS MUST

Fluent English
Advanced MS Office skills, especially Excel
Experience in PMO / administrative / role
Excellent communication skills
Proactive approach and flexible attitude
Analytical and problem-solving skills
Experience of gathering detailed information and consolidating/summarizing
Ability to understand and work in a multi-cultural environment .
Effective presentation skills and process stream lining experience.
Service Work order preparation and management.
Resource On boarding process management
Resource time sheet management
Provide assistance for collating and coordinating Project dashboards used to measure the teams performance.

NICE TO HAVE

Knowledge of Jira and Confluence
