Job Description

Purpose of Function

The Project Coordinator is an integral member of the project team responsible for delivering building development projects of varying and complexity. The Project Coordinator is responsible for directing, organizing and controlling project activities, under the direction of a Project Manager (PM) & Project Head.

Proven work experience as a Project Coordinator or similar role

Experience in project management, from conception to delivery

An ability to prepare and interpret flowcharts, schedules and step-by-step action plans

Solid organizational skills, including multitasking and time-management

Strong client-facing and teamwork skills

Familiarity with risk management and quality assurance control

Effective communication skills including verbal, written and presentation skills.

Demonstrated willingness to be flexible and adaptable to changing priorities.

Proven ability to work effectively both independently and in a team based environment

Tasks and Responsibilities

Assist the PM in the drafting and issuance of project proposals, RFP’s, tenders, budgets, cash flows and preliminary schedules.

Prepare project organization and communication charts.

Effectively and accurately communicate relevant project information to the client and project team.

Coordinating with the internal and external stack holders to achieve tasks.

Coordinating with the vendors with respect to supply of material & progress.

Review field inspection reports from Consultants throughout the lifecycle of the project.

Issue Contracts, Letters of Intent, Purchase Orders, etc.

Coordinating overall SITE activities (if any), monitor and track the progress of work.

Preparing Weekly Status Reports in coordination with PM.

Ensuring timely submission of drawings, designs, data sheets to customers.

Maintain Contract Execution Tracking Log.

Maintaining Tender submission tracking log.

Preparation of Final Documentation on Completion of Project & ensure its record.

Coordinating project schedules, resources, equipment and information.

Liaising with clients to identify and define project requirements, scope and objectives wherever require.

Work with the Project Manager to eliminate blockers.

Act as the point of contact and communicate project status to all participants.

Use tools to monitor working hours, plans and expenditures.

Designs an overall schedule for a project and makes necessary adjustments if and when problems arise in coordination with PM.

Issue all appropriate legal paperwork (e.g. contracts and terms of agreement).

Keeps upper management in the loop by preparing project updates and presentations that showcase a project's value and status.

Keep the Project Manager (PM) and others informed about project status and issues that may impact client relations.

Monitor tender release from web browser.

Create and maintain comprehensive project documentation, plans and reports.

Assist the PM in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval.

Prepare substantial completion certificates and ensure all required project close out documents are obtained.

Support Sales team w.r.t. tender submission (online/ hard copy) and its related documents.
