    Job Description

    Position Summary

    The purpose of project coordinator role is to provide support directly to project manager, program manager, Transition manager or more experienced member of the PMO community in the areas of support of PMO Services.

    Autonomy, Responsibility and Authority

    Works under general direction of the Team Manager. Has limited decision- making responsibility. The scope of autonomy and responsibilities is arranged together with a relevant business partner/ client. Works in a supervised environment and is subject to frequent review. Provides basic guidance on project management processes, procedures, tools and techniques

    Role and Responsibilities

    Participates in Quality Gate Reviews, coordinates project mobilization activities, and uses Atos tools to measure compliance. Documents Roles and Responsibilities. Is aware of the escalation process. (Governance and Assurance)

    Ensures timely submission of project reports, produces project and summary reports according to the schedule. (Project reporting)

    Populates RAID reports, participates in Risk Reviews in a supportive role. (Risks & Issue management)

    Uses spreadsheet and project management software to support setting up work breakdown structures and project networks, based on the supplied planning and actual data, ensures accurate actuals are updated regularly - actuals vs forecast, maintains annual leave registers. (Project planning)

    Procurement, invoicing, basic financial reporting, creation, management and closure of WBS codes. (Financial management)

    Facilitates meetings, takes meeting minutes and actions, distributes and prepares documents, prepares presentations. (Communication management)

    Administrates and manages access to Share Point project spaces, e.g. maintains and issues documentations, does health checks on project/ program documentation. Is aware of the document control process. (Document management)

    On boards, off boards and provides induction to new team members, updates resource trackers, may raise Resource Request on behalf of the PM. (Resource Management)

    Ensures that quality related processes meet deadlines (e.g. Cost of Non- Quality, Quality Gate Reviews) and provides administrative services. (Quality Management)

    Ensures that Cost of Non- Quality and Quality Gate reviews meet deadlines and provides administrative services. (Quality Management)

    Takes responsibility for a small part of sub processes within the PMO.

    Sets up structure in project management tools.

    Supports and provides guidance on standard project management software. Mandatory Skills




    Ownership, independence and proactivity

    Takes responsibility and drives to deliver service according to agreement, clarifies all open points, proactively supports the customers even when not asked, takes responsibility of items not strictly related to business support work. Is able to work independently and take decision when necessary. Measured by showing examples of such attitude.


    Tower/ Domain specific knowledge

    Is aware of technologies delivered by technical towers / Domain


    Knowledge of cost settlement model

    Understands how the cost settlement model works, especially in context of own account and own costs settlement. Monitors and drives service order and purchase order signature. Has WBS code for own work and team work.


    Project/ Program Organization

    Setup of efficient project/ program support structure according to project/ program organization and Project/ Program Manager needs Provides guidance on project management processes, procedures, tools and techniques.


    Knowledge of PMO services and products

    Understands PMO services within PMO wheel of excellence. Identifies deliverables in each area and produces them.


    Project lifecycle

    Principles, methods, techniques and tools for the effective management of projects from initiation through to implementation and closure


    Global methodologies

    Understands the concepts and in use in practice


    Project Planning and Control techniques

    Methods and techniques associated with planning and monitoring progress of projects. Examples: product/ work breakdown structures, critical path analysis, earned value, resource analysis, conflict resolution.


    Effectiveness and ability to utilize knowledge to current needs

    Is able to apply knowledge in order to achieve short- and long- term goals.


    Ability to work in team

    Works well within a team, is able to build relationships locally


    Stakeholders relationship management and influencing

    Builds good relationship with customers, maintains professional communication, proper management of customer expectations. Is polite, open and capable to early address all types of problems. Is able to manage communication toward customer in order to replace part of own work with more junior person.


    English language knowledge
