Job Description
Our client is a MNC with operations over 40 countries, employing over 4000 employees.

We have an opportunity in their manufacturing facility in Manesar,off Gurgaon.

As an Executive Assistant, you will be assisting the Leadership team (including Expat Head ) on a variety of tasks relating to day to day management of the company.

The ideal candidate would be someone who is highly self-motivated, flexible, detail oriented, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment that is growing.


Receive incoming calls and emails; take messages, manage calendars, respond appropriately and route correspondence to the appropriate executive or staff member

Handle requests, feedback and queries quickly and professionally

Maintains management?s appointment schedule by planning and scheduling meetings, conferences, and travel.

Arrange travel, hotel and dining arrangements as needed

Take dictation and minutes of meetings, and distribute and follow up with to-do items as needed

Delegate tasks as appropriate to other members of the team (IT, HR, Finance, etc). Completes projects by assigning work to clerical staff; following up on results.

Produce professional quality reports, presentations and briefs, produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Develop and carry out an efficient documentation and filing system

Conserves Senior Executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Contributes to team effort by accomplishing related results as needed.


Proven experience as an administrative assistant, executive assistant or in other secretarial position

Full comprehension of office management systems and procedures

Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software. Knowledge of SAP, SAP Business warehouse, and SAP Success Factors would be considered an advantage

Proficiency in English

Up-to-date with advancements in office gadgets and applications

High level verbal and written communications skills

Discretion and confidentiality

Strong organizational, project management and problem-solving skills with impeccable multi-tasking and time management skills

Exceptional interpersonal skills

Friendly and professional demeanor

Basic bookkeeping / finance and math skills

Ability to stay calm and on-task in high-stress situations

Bachelor degree in business, communication, human resources or equivalent; additional qualification as personal assistant would be considered an advantage
