The document presents the project as a document management system and requirements, but the real requirement is to create the supporting processes for managing the intake of the documents and management of those documents with the Dynamics 365 AX being the core system that users will use.
Notes on integrations with Dynamics 365 AX. - Key integrations required between PSIGEN and Dynamics 365
o All integrations with Dynamics would use the standard APIs that Dynamics makes available for querying the data.
§ OData (Open Data Protocol) would provide the required functionality for both querying and updating/inserting data.
§ The standard data entities would be used as the reference points for all data access or updates.
§ Our team would require an understanding of the business processes designed in Dynamics so we know which entity needs to be created to initiate processes for A/P etc.
o Loading of data from Dynamics for validation in the PSICapture processes. This will include vendor information, POs and any other data that originates in or resides in Dynamics as the system of record.
§ Option 1 would be a bulk export data and then load or make available to PSIGEN to query using its standard methods of data access,
§ Option 2 would have PSICapture do an execute of a stored procedure which would then complete the API call to get data required for validation and pass that data back in the response to PSICapture
§ Option 3 would have Dynamics trigger the sending of data when a save or insert event occurs and have that data sent to PSICapture’s data store for validation. This data would then be loaded into the staging DB or PSICapture.
§ The correct approach for different validations would need to be determined during the design phase based on the business processes and requirements
o Loading of data from the PSICapture processes to Dynamics to create the required sets of new data. This could include invoices and other data being extracted from the scanned documents.
§ There are several approaches that could be used for the loading of these datasets. Since PSIGEN cannot do direct API calls we would leverage one of the following methods and would determine the best approach for this processing as part of the design phase of the project.
· PSICapture execution of a stored procedure, which would complete the API call to Dynamics for the data insert/update.
· PSICapture places the data into an intermediary database that would then be processed through database triggers.
· PSICapture places the documents and data into SharePoint and a FLOW workflow is triggered to initiate the API calls to Dynamics to insert the required data.
· The benefit of the 2nd and 3rd options is the ability to manage any failures that might occur. PSICapture is a transactional scan and a capture process and would not be able to manage the state of data being sent. It would also not be able to retry sending of data on failures very well.
§ The above approaches for inserting data into Dynamics would rely on using the appropriate APIs provided by Dynamics for inserting different types of data.
