Job brief
We are looking for an Accounts Administrator Office cum Assistant to help with the organization and running of the daily administrative operations of the company and to manage our company’s accounts payable and receivable.

Accounts Administrator responsibilities include reviewing and reconciling accounts, processing payments to external partners and maintaining updated records of invoices and receipts. To be successful in this role, you should have a Finance or Accounting background and be familiar with bookkeeping.

Ultimately, you will ensure we process all financial transactions accurately and on time and that our company is functioning effectively.

Responsibilities
  • Manage obligations to suppliers, customers and third-party vendors
  • Process bank deposits
  • Reconcile financial statements
  • Prepare, send and store invoices
  • Contact clients and send reminders to ensure timely payments
  • Submit tax forms
  • Identify and address discrepancies
  • Report on the status of accounts payable and receivable
  • Update internal accounting databases and spreadsheets
  • Organize office and assist associates in ways that optimize procedures
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Coordinate with other departments to ensure compliance with established policies
  • Maintain trusting relationships with suppliers, customers and colleagues
Requirements
  • Proven work experience as an Accounts Administrator or similar role
  • Good knowledge of bookkeeping procedures and debt collection regulations
  • Hands-on experience with accounting software
  • Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
  • Solid data entry skills with an ability to identify numerical errors
  • Good organizational and time-management abilities 
  • BSc degree in Finance, Accounting or relevant field
  • Proven experience as an back office assistant, office assistant, virtual assistant or in another relevant administrative role
  • Knowledge of "back-office" computer systems (ERP software)
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Proficiency in MS Office
